Booking Conditions
General
1. Teddington Riverside Jazz Festival is owned and operated by Ken Richman (referred hereafter as “TRJF”) and these Terms and Conditions form the agreement between the holder of any ticket and TRJF.
2. The Venue is The Lensbury Club, Broom Road, Teddington.
Event Tickets and Admission
3. All holders of an Event Ticket agree to be bound by these Entry Conditions, and such other terms as are drawn to the attention of visitors by TRJF.
4. There shall be no admittance to the Event without a valid Event Ticket. TRJF reserves the right to refuse admission to the Event to anyone who does not have a valid Event Ticket (including those which appear to be counterfeit or which have been altered and/or defaced).
5. On entry to the Event all visitors agree to accept and abide by any venue conditions of entry of The Lensbury Club (as may be updated from time to time) and any other regulations from time to time provided on entry to the Venue.
6. It is the Event Ticket holder’s responsibility to check his or her Event Ticket(s), as mistakes cannot always be rectified, and TRJF shall not be responsible for any incorrect Event Tickets.
7. Event Tickets may not be used as prizes in competitions, “give-aways” or a lottery without the prior written consent of TRJF.
8. Wristbands will be issued to all ticket holders and must be worn at all times. Look after your wristband. If it becomes detached, take it to the information desk and ask for a replacement. If you cannot show your wristband when asked by security or crew, you may be asked to leave. TRJF shall not be responsible for any lost or stolen Event Tickets or wristbands.
9. All Event Ticket sales are final and unless otherwise stated herein, no refunds, cancellations or exchanges are available after an Event Ticket has been purchased.
10. Without prejudice to the Refund Terms, Event Tickets are non-refundable and are issued subject to the Organiser’s right to alter or vary the Event due to events or circumstances beyond its reasonable control without being obliged to refund monies or exchange Event Tickets. It is the responsibility of the Event Ticket holder to ascertain the date, time and venue of any rearrangement of the Event.
Tickets for children and under-18’s
11. The Event is suitable for persons of all age, if suitably accompanied and supervised throughout. Children under 6 (aged 5 or below on the day of the event) are permitted, though TRJF is clear in its advice to parents and guardians that the sensitivity of young children to high levels of noise means that appropriate care should be taken at all times to suitably protect children’s hearing. We do not accept any parental or supervisory duty of care or liability for any under 18’s on site. Children 16 years old and under must be accompanied by a parent or guardian (21 or over) at all times, without exception, in any area of the event.
12. You must be of the age matching your type of ticket on the day of the event. Proof of age may be required for all Ticket types. Please ensure that you have a photo ID with you in case you are asked. If you look under 25 you may be asked for proof of age when you buy alcohol.
13. Children may not purchase tickets for themselves. By purchasing a family ticket and/or a ticket for a child, being a person who is 6-16 years old at the time of the Event, you are confirming that you are either the parent, legal guardian or nominated guardian of the child for whom you are purchasing (a “Responsible Person”). All Responsible Persons must be over 21 to be responsible for anyone aged 16 and under.
14. Child Ticket holders can only enter the Event with the Responsible Person who purchased their Ticket. For safety reasons, any Child Ticket holders attempting to enter the Event without the Responsible Person who bought their Child Ticket may be denied entry to the Event.
15. Children under 6 years old on the day of the Event shall be admitted free of charge, subject to being accompanied at all times by an adult aged 21 and over holding a valid Event Ticket.
16. One Responsible Person is required for every 6 people aged 16 and under who enter the event.
Readmission
17. Re-entry to the Event is permitted, but not without a valid re-entry ticket or wristband. All wristbands remain the property of TRJF until 12 Noon the day after the event.
Touts and trading
18. Tickets are only valid if purchased from our website. Do not buy tickets or goods from unlawful street traders / touts. There is no guarantee of tickets’ validity for entry unless purchased from official ticket agents for the event.
19. No trading or promotional activities are allowed within the venue without TRJF’s prior consent.
20. You are not entitled to purchase any Tickets as a trader acting in the course of business with the intention of reselling your Tickets for profit. Any such tickets traded will be void.
Personal Assistant (PA) tickets
21. A Personal Assistant (PA) ticket, which will issued free of charge on application, may only be applied for in conjunction with a regular Event Ticket. No entry will be granted to PA ticket holders without an accompanying Event Ticket holder.
22. By applying for a PA ticket, you are confirming that the regular Event Ticket holder is unable to attend the event without the support of a PA. We require certain documentation to be presented before we can grant you access to the Facilities and/or confirm your PA (Personal Assistant) Ticket for the event. This is to ensure that you are eligible for the PA Ticket and that the support we offer is not being abused. Supporting documents which we accept are;
a) Disability Living Allowance (DLA)
b) Personal Independence Payment (PIP) or Carers Allowance documentation
c) Evidence of registered severely sight impaired
d) The Access Card
e) CredAbility Access Card (with +1 icon)
f) Copy of Attendance Allowance letter
g) Recognised Assistance Dog ID card
h) Any other relevant documentation
Documents provided to support your PA application must contain the Event Ticket holder’s full name and must be dated within the past 18 months.
23. All PA’s attending through the scheme must be aged 18 and over to be eligible to support the associated Event Ticket holder during their visit.
24. The above scheme and facilities are for customers with permanent/ long term access requirements and are not for people with temporary impairments such as broken bones, healing wounds or people who are pregnant.
25. PA ticket holders must be available to accompany the associated Ticket Holder for the duration of their attendance at the event. By purchasing a PA ticket, the PA is agreeing to take full responsibility for the wellbeing and safety of the Customer they are supporting. PA ticket holders must not be inebriated, intoxicated, or in any other way unable to care for the Customer they are supporting for the duration of their attendance at the event. Failure to comply may result in the ejection of both the PA ticket holder, and the Event Ticket Holder in accordance with the conditions of the PA ticket purchase.
Dogs and other animals
26. Dogs and other animals are not permitted, except for assistance dogs.
Food and drink
27. The Venue is the supplier of all Food and Drinks at the event. If you purchase Food and/or Drinks, then your contract for the purchase is with the Venue, not TRJF.
28. Subject to the exceptions listed below, it is not permitted to bring in your own food and drink or other liquids. Any food and drink that does not comply will be disposed of by security staff.
Exceptions:
Medical needs: If you have a medical condition that means you need to bring your own food or drink, please bring a medical note or evidence to support this.
Food and drinks for infants: You may bring in food and drinks for children aged 5 and under who are with you and in your care. The food and drinks must be of an appropriate type and quantity for the child.
29. Containers: Glass containers of any size will not be permitted. Empty plastic bottles not larger than 2 litres may be brought into the site, including plastic sports bottles. There will be water points available on site for free water refill. Refillable metal bottles are permitted if brought to the event completely empty.
Chairs, blankets, hampers etc.
30. Folding chairs and picnic blankets are permitted, however be mindful and considerate of others when you place them. If you are asked to move them by security staff or crew, you must do so. Unattended blankets and chairs may be moved by security staff and/or event crew. Picnic hampers are not permitted due to the food and drink restrictions.
Photography, sound and video recording
31. You give your express consent to your actual likeness to be included for no fee within any audio or visual recording to be used in any media for any purpose at any time. This includes filming by security staff which may be carried out for the security of customers and/or the prevention of crime.
32. You acknowledge that CCTV cameras will be in operation across the Venue for reasons of security and public interest.
33. Photographic and other non-professional recording equipment is permitted if it is for personal non-commercial use only. Unauthorised professional recording equipment is not permitted. In the event of any subsequent commercial use, the bearer agrees to pay TRJF for the cost of a licence to take photographs / visual / audio recordings for commercial use.
34. All sound and moving or still picture rights including, without limitation, on the internet, vest exclusively with TRJF and any material captured, filmed or recorded at the Event by any Event goer may only be used for the personal, non-profit making enjoyment of amateurs.
Refunds
35. Refunds are only considered on major cancellation, material alteration or by special exception determined by TRJF in its sole discretion.
36. For the purposes of these booking conditions:
a. ‘major cancellation’ is the cancellation of the Event in full (and not rescheduled);
b. ‘material alteration’ is a change (other than a rescheduling) which, in TRJF’s opinion, makes the Event materially different to the Event that ticket purchasers, taken generally, could reasonably expect. In particular, please note that the following are not deemed to be ‘material alterations’: changes to the line-up of the Event; adverse weather conditions; changes to individual members of a band; curtailment of the Event where the majority of the Event is performed in full; and delays to starting the performance of an Event;
c. ‘special exception’ is an exception determined by TRJF in its sole discretion.
37. Refunds sanctioned by TRJF will be made automatically. If for any reason you do not receive yours, make a request via our website, no later than three months after the Event.
38. Booking fees are not refundable in any circumstances.
Security
39. In order to facilitate the security, safety and comfort of all attendees, TRJF reserves the right in their absolute discretion to conduct security searches of persons, clothing, bags and all other items on entry and exit to the Event and to confiscate items which may be illegal, cause danger and/or disruption to the Event or other visitors, or are in breach of these Entry Conditions and to refuse admission to the Event. Anyone resisting confiscation of disallowed items or disregarding these conditions will face eviction from the Venue.
40. Anyone found in possession of illegal drugs / substances may be refused entry / ejected from site and may be handed over to the police. TRJF has a zero tolerance policy to drugs.
41. The list of banned items includes, but is not limited to, the following:
a. Aerosols, Airhorns, Alcohol, Animals (except for assistance dogs), Barbeques and any kind of cooking apparatus, Bicycles, Blowtorches, Drinks (except bottled water in sealed containers up to 2L), Drones, Drugs, Gas canisters, Gazebos, Glass, Food, Food hampers/cool bags/boxes, Fireworks, Flags on poles, Flares, Illegal substances, Items which may be regarded as weapons, Legal highs (inc Nitrous Oxide and associated equipment including balloons), Laser equipment/pens, Liquids/gels, Megaphones, Pyrotechnics, Recording or transmitting equipment, Roller skates, Scooters, Sky or ‘chinese’ lanterns, Smoke bombs, Sound systems (including personal speakers), Spray cans, Tabards/high viz jackets.
Damage / Losses
42. TRJF is unable to accept any liability for personal or property damages, losses (including surrendered items) or injuries sustained at this event – other than caused as a result of our negligence.
43. TRJF may prosecute You if You cause damage to the Venue, the Venue infrastructure, or cause harm to any other person at the Event and/or Venue.
Health and Safety
44. You must comply with any and all instructions given to You by Us, Venue and/or Event staff and stewards.
45. Smoking is not permitted in enclosed public spaces or buildings. This includes vapes and e-cigarettes. If you smoke outdoors, please don’t do this where other would have to inhale your smoke.
46. Excessive exposure to loud music may cause damage to your hearing. We will monitor volume levels but if you think the music is too loud, please move further from the source. You can obtain ear plugs free of charge from the information desk.
47. Pyrotechnics, lasers, smoke machines, strobe lighting/special effects may take place during some performances.
48. In the event of an emergency, Event Ticket holders and all visitors to the Event must follow instructions and directions from stewards, staff and/or other officials.
49. Disabled Facilities are available – If you have a specific requirement, please contact info@teddingtonjazzfestival.co.uk in advance of the event for further information.
Housekeeping
50. Please use the bins and recycling points provided on and off site.
51. If before or during the Event You have a complaint in relation to the Event, please contact Us or a steward promptly since complaints are very difficult to deal with after the Event.
52. The Event is mostly outdoors. You are strongly advised to bring appropriate clothing and footwear to protect against potential inclement weather.

Privacy
54. We respect your Personal Data and shall deal with it in accordance with our Privacy Policy and applicable UK Data Protection legislation in place from time to time. Please see our Privacy Policy for further details which can be found on our website.
